Job Description
The Project Coordinator / Budget Coordinator plays a key role in driving projects from order receipt through execution and delivery by owning schedules, budgets, and day-to-day coordination across internal teams and external customers. This role is suited for a self-starter who is comfortable operating with minimal hand-holding, entering and maintaining data directly in company systems, and proactively identifying opportunities to reduce cost, improve efficiency, and strengthen communication. Acting as a primary liaison between the company and its customers, this individual ensures projects stay aligned on scope, cost, timing, and expectations while supporting the company’s broader efforts to scale operations and improve execution.
Responsibilities
- Coordinate and manage multiple active projects, tracking scope, schedule, cost, and deliverables from kickoff through completion.
- Own budget tracking and cost control, including monitoring spend, identifying variances, and supporting cost-reduction initiatives across projects.
- Enter, maintain, and update project data, budgets, schedules, and documentation directly within internal systems and tools.
- Serve as a primary point of contact for clients, providing clear, timely updates on project status, risks, changes, and next steps.
- Work cross-functionally with engineering, manufacturing, quality, and procurement to ensure alignment on priorities, timelines, and cost targets.
- Identify inefficiencies, process gaps, and cost drivers, and actively contribute ideas and actions to improve project execution and profitability.
- Support change management activities, including scope adjustments, pricing impacts, and timeline revisions, ensuring all changes are clearly communicated and documented.
- Prepare and present project status updates, budget summaries, and forecasts for internal leadership and customers.
Essential Skills
- 3+ years of experience in a Project Coordinator, Project Manager, or Budget-focused coordination role within a manufacturing, aerospace, or industrial environment.
- Proven experience with budget management, cost tracking, and cost-reduction initiatives on active projects.
- Strong ability to work independently as a self-starter, taking ownership of tasks, data entry, and follow-ups without constant oversight.
- Demonstrated experience acting as a client-facing liaison, with strong written and verbal communication skills.
- Comfortable working directly in ERP, project management, or financial tracking systems and maintaining accurate, real-time data.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced, growing operation.
Additional Skills & Qualifications
- Experience in precision manufacturing, aerospace, or job-shop environments.
- Experience supporting operational improvement or cost-optimization efforts across projects.
- Familiarity with project scheduling tools, ERP systems, or financial reporting tools.
- Post-secondary education in Engineering or Project Management.
Work Environment
The company offers a close-knit, hands-on work environment with approximately 50 employees based in its Mississauga facility, creating a strong sense of teamwork and visibility across the business. The operation is split between a dedicated engineering office area, where planning, engineering, and administrative teams work from cubicles, and a fully active machine shop floor where production is executed. This layout encourages regular interaction between engineering, planning, and manufacturing, allowing problems to be addressed quickly and decisions to be made with direct input from the shop. It’s an environment that suits people who enjoy being close to the work, collaborating across functions, and seeing their plans and decisions directly impact production outcomes rather than operating in a disconnected corporate setting.
Job Type & LocationThis is a Contract to Hire position based out of Mississauga, ON.
Pay and BenefitsThe pay range for this position is $40.00 - $50.00/hr.
Workplace TypeThis is a fully onsite position in Mississauga,ON.
